Accession Pathology

Page Description

Use the Accession Pathology page to assign distinct Pathology sample IDs, create new Pathology sets, edit existing Pathology sets, print worksheets, and send orders. You must have the "Enable Accessioning Cytology/Pathology unit" right assigned to your role in order to access this page along with using an ACO that can only be set if you are an Orchard Superuser. If you are a superuser, you may activate the ACO setting through the System Defaults page under Basic Setup in administration.

Creating a Pathology Sample Set

  1. Click the New button to enable the Pathology Sample Set section.
  2. Select the protocol to be used with this pathology set from the Protocol drop-down list. If you cannot find the desired protocol, create a new one using the Pathology Protocols administration page. See the Admin: Pathology Protocols topic. Note that the drop-down list only displays active pathology protocols that have a mapped order choice type designated as a sample collection type.
  3. Enter the sample or order ID in the Add Sample to Set field to search for samples using the Sample Search page. The samples you select from the Sample Search page are added to the pathology set. See the Sample Search topic.
  4. If the sample does not have a Copia sample ID, click the Order New Sample button to enter the order into Copia using the Order Patient Samples page. See the Order Patient Samples topic. After creating the order and marking the sample as collected, use the newly generated sample ID to place the sample into the sample set.
  5. Once you add a sample, Copia displays the set in the sample set table. Note that Copia places the samples in the table from top to bottom in the order that you add them. If you remove a sample from within the list, Copia will not place another sample in the row unless you remove the samples beneath the empty row.
  6. Once you have added all of your samples, click the Print Worksheet button to send the order and print the samples worksheet. The electronic order is only sent one time for a sample in a set. You may click the Print Worksheet button many times without sending multiple messages to the lab. Note that once you send the order, Copia restricts you from removing any samples from the sample set. Click the Print Labels button to print labels from the Accession Pathology page with sample set information and click the Release to Lab button to release sample set(s) to the lab as well as print the samples worksheet.
  7. Click the Close Set button to close the displayed set and clear the Accession Pathology page.

Adding Samples to an Existing Sample Set

  1. Copia allows samples to be added to an existing sample set provided there are rows available. Copia places samples in the table sequentially and does not fill empty rows that have samples preceding it. Note that Copia restricts you from changing the set definition or deleting samples.
  2. Enter a Pathology sample ID in the Storage Container Type field to locate the existing sample set using the Storage Container search page. The samples you select from the Sample Types search page are added to the Pathology set. See the Storage Container Search topic.
  3. Once you select the sample set, Copia displays the set in the sample set table. Enter the sample or order ID in the Add Sample to Set field to search for samples using the Accession Pathology search page. See "Creating a Pathology Sample Set" above.
  4. Once you add a sample, Copia places it in the sample set table in the highest row available.
  5. Once you have added all of your samples, click the Print Worksheet button to send the order and print the samples worksheet. The electronic order is only sent one time for a sample in a set. You may click the Print Worksheet button many times without sending multiple messages to the lab. Note that once you send the order, Copia restricts you from removing any samples from the sample set. Click the Print Labels button to print labels from the Accession Pathology page with sample set information and click the Release to Lab button to release sample set(s) to the lab as well as print the samples worksheet.
  6. Click the Close Set button to close the displayed set and clear the Accession Pathology page.

Deleting a Sample from the Sample Set
  1. Click the X button that corresponds to the sample and order ID.
  2. Note that Copia will not fill an empty row that has samples preceding it. See "Creating a Pathology Sample Set" above.
  3. Copia restricts you from removing any samples from the sample set if the order has already been sent and the samples worksheet printed.
