Admin: Messages at Sign-in

Page Description

Use the Messages at Sign-in page to view the message list; establish or modify message delivery settings; add or edit system, practice, location, or user messages; add or remove message recipients; and view message acknowledgements. You must first select or add a message before you can perform any of these tasks.

Viewing the Message List
  1. The Messages list page contains a list of up to ten messages. If the list is longer than one page, use the Page links, located below the list of messages, to navigate through the list.
  2. To view only active messages, select the Show active only checkbox at the top of the Messages list page. You set the active/inactive status in the Message Delivery section of the Messages details page. See "Modifying Message Delivery Settings" below.
  3. If you cannot find the desired message, click the Add button to add a message. See "Accessing Message Details" below.
  4. Click the name of the message on the Messages list page to view or edit messages on the Messages details page. See "Accessing Message Details" below.

Accessing Message Details

  1. Use the Messages list page to access the Messages details page, where you may establish or modify message delivery settings, add or edit system, practice, location, or user messages; add or remove message recipients; and view message acknowledgements. See "Modifying Message Delivery Settings" below.
  2. To create a new message, click the Add button in the Messages list page. This opens a blank record in the Messages details page to create a new message.
  3. To edit an existing message, click the name of the message in the Messages list page. This opens the selected message in the Messages details page.

Modifying Message Delivery Settings

  1. Use the Message Delivery section of the Messages details page to define when Copia delivers the message.
  2. Select a delivery option from the Will be delivered to drop-down list.
  3. Enter the date and time to begin displaying the message in the Show when user is signing in after _____ fields. Copia enters the current date and time by default for new messages. Select the date from the calendar view by clicking the calendar icon located next to the date field.
  4. If desired, select the Stop displaying message checkbox and enter the date and time to stop displaying the message. Select the date from the calendar view by clicking the calendar icon located next to the date field. You may set the stop time when you create the message or at a later time. This option is not enabled by default.
  5. Select the Force user to print checkbox to have Copia automatically display the standard print dialog box when the Messages page appears for the user. This allows the user to change the print settings as desired, and then click Print. Copia will then print the message according to the settings the user established in the print dialogs (number of copies, printer destination, etc.).
  6. Select the Force user to verify reading message checkbox to have Copia automatically force a user to click a checkbox upon viewing the message to continue signing in.
  7. Select the Active checkbox to indicate that the message is active. Clear this checkbox if the message is inactive. If the message is inactive, Copia clears it from the Messages list page when you select the Show active only checkbox. See "Viewing the Message List" above.
  8. If your modifications are complete, click Save to record all changes. Otherwise, complete the remaining sections, and then click Save.

Adding or Editing Message Content

  1. Use the Message Content section of the Messages details page to create or edit the message users will see when they sign in. Note that they will only be able to view this message; they will not be able to edit it.
  2. Type the message into the text field.
  3. To edit a message, highlight or delete text already displayed in the field, then modify as desired. A user cannot edit a message once the message has been delivered.
  4. If your modifications are complete, click Save to record all changes. Otherwise, complete the remaining sections, and then click Save.

Adding or Removing Message Recipients
  1. The Message Recipients section of the Messages details page displays the recipients who will receive the message entered in the Message Content section of this page. See "Adding or Editing Message Content" above.
  2. If no recipients are assigned, select an option from the Recipient Type drop-down list to define the group of users who may receive the message. You may only send the message to one type of user.
  3. If you selected practice, location, or user for the Recipient Type, click the Add button to add recipients using the Practice Search, Location Search, or User Search pages, depending on the type of recipient you are adding. See the Admin: Practice Search, Location Search, or User Search topics.
  4. Once you add one or more recipients, they are listed with the status of their message acknowledgement. A status of "yes" indicates that they have acknowledged the message. Use the Message Acknowledgements section to view more details about users' acknowledgements. See "Viewing Message Acknowledgements" below.
  5. To remove a recipient, click the X button that corresponds to the recipient. If you wish to change the Recipient Type after you have assigned one or more user, location, or practice recipients, you must remove all of the recipients you have added, and then you will be able to select a different type.
  6. If your modifications are complete, click Save to record all changes. Otherwise, complete the remaining sections, and then click Save.

Viewing Message Acknowledgements (Existing Messages Only)

  1. The Message Acknowledgements section of the Messages details page displays information about when the user acknowledged the message. This section only appears when you access existing messages.
  2. By default, Copia does not display the acknowledgement details. Click the Show link to view the details.
  3. Each user's acknowledgement is listed with the User Name, Recipient, First Time Viewed, Most Recent Viewing, and Times Viewed.
  4. Click the hide link to hide the acknowledgement details.
  5. If your modifications are complete, click Save to record all changes. Otherwise, complete the remaining sections, and then click Save.
