Admin: ZIP Codes

Page Description

Use the ZIP Codes administration page to add or edit the list of ZIP codes available in the database.

If ZIP code checking is enabled in the System Defaults administration page, then, when you enter in the patient Demographics or Insurance pages a ZIP code that exists in the database, Copia automatically fills in the city and state associated with the ZIP code, and if the ZIP code update option is enabled, then Copia also updates the corresponding city and state data, if appropriate. When performing the check, Copia first searches for an exact match (for example 12345-6789). If it cannot find a match, it searches on the first five characters of the ZIP code (for example, 12345). Copia uses the first ZIP code match to populate the city and state fields. The ZIP code the user enters must exist in this page; users may not permanently add ZIP code to city/state relationships when editing patient or insurance records.

Viewing the ZIP Codes List
  1. The ZIP Codes page contains a list of up to ten ZIP codes. If the list is longer than one page, use the Page links, located below the list of ZIP codes, to navigate through the list.
  2. To narrow the list of displayed ZIP codes, or to find a specific ZIP code, use the Search option. Click the List option to return to the full list of ZIP codes. See "Searching for a ZIP Codes" below.
  3. If you cannot find the desired ZIP code, click the Add button to add a ZIP code. See "Adding or Editing ZIP Code Details" below.
  4. Click the ZIP code on the ZIP Code list page to view or edit ZIP code information or delete ZIP codes on the ZIP Code details page. See "Adding or Editing ZIP Code Details" and "Deleting ZIP Codes" below.

Searching for a ZIP Code
  1. Select the Search option to search by ZIP code, city name, or state abbreviation. Enter one or more characters in the Search field and click the Search button to view a list of all ZIP codes that match your search. Note that Copia searches for embedded text as well as starting characters.
  2. If your search generates one or more matches, the matching ZIP codes are displayed with city names and state abbreviations when the page refreshes. Select the desired ZIP code to view the details. See "Adding or Editing ZIP Code Details" below.
  3. If no search results are found or if the desired ZIP code is not found, search again, or you may click the Add button to add a new ZIP code. See "Adding or Editing ZIP Code Details" below.
  4. Click the List option to view the full list of ZIP codes. See "Viewing the ZIP Codes List" above.

Adding or Editing ZIP Code Details

  1. Use the ZIP Code Details section of the ZIP Code details page to add or edit a ZIP code.
  2. Enter the new ZIP code in the ZIP Code field. This field is required.
  3. Enter the city that corresponds to the ZIP code in the City field. This field is required.
  4. Enter the county for the specified city and ZIP code in the County field, if desired. This field is for database searches only, and it does not appear elsewhere in the program.
  5. Enter the state for the specified location in the State field. This field is required.
  6. To edit the ZIP code or related city or state, highlight or delete text already displayed in the fields, then modify as desired.
  7. Click < Back to List to return to the ZIP Codes list page without saving any changes.
  8. Click Save to record changes and return to the ZIP Codes list page.

Deleting ZIP Codes

  1. Use the ZIP Code Details section of the ZIP Code details page to delete the selected ZIP code.
  2. Click the Delete button to delete the selected ZIP code and return to the ZIP Codes list page. You cannot undo this deletion. If you delete a ZIP code in error, you must recreate the ZIP code and related information.
