Admin: Specimen Source Setup

Page Description

Use the Specimen Source Setup button to setup specimen source questions that are used to define specimen information in the Specimen Source Details section of the Specimen Sources page. You are able to configure label text and host code information from this page for the questions Topographical answer 1, Topographical answer 2, Anatomic location, and Procedure.

In order to view and/or modify specimen part information once an order has been saved on the ordering screen, click the specimen source text in the list of order choices in the Order Choices section of the Order Patient Samples page to open the Specimen Part Details pop-up, where you may view or edit this information.

Viewing the Specimen Source Question Setup List
  1. The Specimen Source Questions page contains a list of label text and host code information for several questions that directly affect the Specimen Source Details section of the Specimen Sources page. These questions include Topographical answer 1, Topographical answer 2, Anatomic location, and Procedure.
  2. Enter text into the Terminology for Part field to specify how many instances (parts) of an order choice to add to an order and to assign specimen part question responses to the different parts. The default value for this field is "Part."
  3. Select the Suppress displaying the Sources column in Specimen Source Group search results on the Lab Tasks side of the application checkbox to suppress displaying the "Sources" column in Specimen Source Group search results on the Order Patient Samples and Release Samples pages in Copia. On the Order Patient Samples page, the Specimen Source Group user-defined fields will not include the "Sources" column in the search results table when the new setting is enabled. Also, the Specimen Source Group search field on the Enter Specimen Part pop-up will not include the "Sources" column in the search results table when the new setting is enabled. On the Release Samples page, Specimen Source Group user-defined fields on the Lab Orders table will not include the "Sources" column in the search results table when the new setting is enabled.
  4. To view active hosts only on this page, select the Show active hosts only checkbox. Set the active/inactive status in the Host Details section of the Hosts details page. See the Admin: Hosts topic.

Viewing the Topographical Answer 1 Setup

  1. Use the Topographical answer 1 and Host Codes for Topographical answer 1 sections to configure label text and host code information for the Topographical answer 1 question.
  2. Enter text into the Topographical answer 1 label text field to display text that will appear as the question. This text is customizable, and once it is saved, it will replace "Topographical answer 1" on the order. The default value for this field is "Topographical answer 1." For example, if you enter "Where does it hurt?" into the Topographical answer 1 label text field, "Where does it hurt?" will replace "Topographical answer 1" as the question.
  3. The Host Codes for Topographical answer 1 section displays host names and a field for host codes. Enter the host code(s) into the field(s) that you want on the order. The host code(s) hold the information (answer) for the Topographical answer 1. For example, if the answer for Topographical answer 1 is "Anterior," that information will be displayed by a host code such as "SSTop1HL7." The host code(s) must stay consistent throughout the systems to ensure that the messages are sent properly.
  4. Click the Save button if you wish to only setup Topographical answer 1, or the < Back to List button to return to the System Defaults page. Continue scrolling down if you wish to setup more Parts.

Viewing the Topographical Answer 2 Setup

  1. Use the Topographical answer 2 and Host Codes for Topographical answer 2 sections to configure label text and host code information for the Topographical answer 2 question.
  2. Enter text into the Topographical answer 2 label text field to display text that will appear as the question. This text is customizable, and once it is saved, it will replace "Topographical answer 2" on the order. The default value for this field is "Topographical answer 2." For example, if you enter "What part of the body?" into the Topographical answer 2 label text field, "What part of the body?" will replace "Topographical answer 2" as the question.
  3. The Host Codes for Topographical answer 2 section displays host names and a field for host codes. Enter the host code(s) into the field(s) that you want on the order. The host code(s) hold the information (answer) for the Topographical answer 2. For example, if the answer for Topographical answer 2 is "Upper," that information will be displayed by a host code such as "SSTop2HL7." The host code(s) must stay consistent throughout the systems to ensure that the messages are sent properly.
  4. Click the Save button if you wish to only setup Topographical answer 2, or the < Back to List button to return to the System Defaults page. Continue scrolling down if you wish to setup more Parts.

Viewing the Anatomic Location Setup

  1. Use the Anatomic location and Host Codes for Anatomic location sections to configure label text and host code information for the Anatomic location question.
  2. Enter text into the Anatomic location label text field to display text that will appear as the question. This text is customizable, and once it is saved, it will replace "Anatomic location" on the order. The default value for this field is "Anatomic location." For example, if you enter "Where is the pain located?" into the Anatomic location label text field, "Where is the pain located?" will replace "Anatomic location" as the question.
  3. The Host Codes for Anatomic location section displays host names and a field for host codes. Enter the host code(s) into the field(s) that you want on the order. The host code(s) hold the information (answer) for the Anatomic location. For example, if the answer for Anatomic location is "Ear," that information will be displayed by a host code such as "SSATLocHL7." The host code(s) must stay consistent throughout the systems to ensure that the messages are sent properly.
  4. Click the Save button if you wish to only setup Anatomic location, or the < Back to List button to return to the System Defaults page. Continue scrolling down if you wish to setup more Parts.

Viewing the Procedure Setup

  1. Use the Procedure and Host Codes for Procedure sections to configure label text and host code information for the Procedure question.
  2. Enter text into the Procedure label text field to display text that will appear as the question. This text is customizable, and once it is saved, it will replace "Procedure" on the order. The default value for this field is "Procedure." For example, if you enter "What procedure shall be used?" into the Procedure label text field, "What procedure shall be used?" will replace "Procedure" as the question.
  3. The Host Codes for Procedure section displays host names and a field for host codes. Enter the host code(s) into the field(s) that you want on the order. The host code(s) hold the information (answer) for the Procedure. For example, if the answer for Procedure is "Punch Biopsy," that information will be displayed by a host code such as "SSProcHL7." The host code(s) must stay consistent throughout the systems to ensure that the messages are sent properly.
  4. Click the Save button if you wish to only setup Procedure, or the < Back to List button to return to the System Defaults page.

Adding or Editing Host Codes on the Specimen Sources page

  1. The Host Codes for this Specimen Source section of the Specimen Source Details page enables you to add or edit the host code information for the specimen source. If there is no host code for a specimen source, Copia sends the name of the specimen source instead in the HL7 transmission.
  2. To view active hosts only, select the Show active hosts only checkbox. Set the active/inactive status in the Host Details section of the Hosts details page. See the Admin: Hosts topic.
  3. To add host codes, enter the codes for the specimen source in the Host Code fields next to the desired host names. These host codes must be unique for each host across specimen sources. For example, you may not use the host code 123 for Host A for both Specimen Source 1 and Specimen Source 2. If you try to save a host code that is identical to another code for the same host for two specimen sources, Copia displays a warning message that details where up to ten conflicts lie and prompts you to proceed with saving the host codes or not.
  4. Click < Back to List to return to the Specimen Source List page without saving any changes.
  5. Click Save to record changes and return to the Specimen Source List page.

Adding or Editing Specimen Source Questions on the Specimen Sources Page

  1. The Questions for this Specimen Source section of the Specimen Source Details page enables you to add or edit four configurable questions that can be attached to the specimen. When this condition is used, it will check the responses to the selected questions, regardless of the Specimen Source selected.
  2. Enter text into the Topographical answer 1 field to add where the biopsy is from such as Inferior, Anterior, Posterior, etc. This question requests valid answers, which should be separated by semicolons.
  3. Enter text into the Topographical answer 2 field to add a second area where the biopsy is from such as Left, Upper, Lower, etc. This question requests valid answers, which should be separated by semicolons.
  4. Enter text into the Anatomic location field to add the anatomic location of the specimen such as Arm, Back, Cheek, Ear, etc. This question requests valid answers, which should be separated by semicolons.
  5. Enter text into the Procedure field to add the procedure such as Punch Biopsy, Excisional w/ orientation, etc. This question requests valid answers, which should be separated by semicolons.
  6. Select one or more of the checkboxes on each question to allow the user to complete those actions when answering the question(s) on the specimen.
