Admin: Freezers
Page Description
Use the Freezers page to add freezers or to design or modify the structure of the freezers available for sample storage.
Note that this page is only available if your facility uses the Freezer Storage module. Contact your Orchard Software Sales Representative if you are interested in using this module.

Accessing this Page
- Click the Administration menu button, click the Other Setup button, and then click the Freezers submenu link. You must have the necessary security permissions to access the Administration menu button.
When you click the Administration menu button, Copia opens the main Administration menu, which contains administrative menu buttons, including the Other Setup menu. To return to the main menu for Copia, click the Lab Tasks menu button.

Viewing the Freezer List
- The Freezers list page contains a list of up to ten freezers. If the list is longer than one page, use the Page links, located below the list of freezers, to navigate through the list.
- To view only active freezers, select the Show active only checkbox at the top of the Freezers list page. You set the inactive/active status in the Freezer Details section of the Freezers details page. See "Adding or Editing Freezer Details" below.
- If you cannot find the desired freezer, click the Add button to add a freezer. See "Adding or Editing Freezer Details" below.
- Click the freezer name on the Freezers list page to view or edit freezer information on the Freezers details page. See "Adding or Editing Freezer Details" below.

Adding or Editing Freezer Details
- Use the Freezer Details section of the Freezers details page to add or edit a freezer.
- Enter the name of the freezer in the Freezer Name field. This field is required.
- Enter the location where the freezer resides in the Location field.
- Select an option from the Temperature drop-down list to define the temperature inside the freezer. This list includes all of the storage temperatures defined in the Storage Temperatures administration page. See the Admin:
Storage Temperatures topic. This field is required.
- To edit the freezer information, select a different option, or highlight or delete text already displayed in the fields, then modify as desired.
- Select the Active checkbox to enable users to select the freezer when storing samples. Clear this checkbox to restrict users from selecting the freezer. If the freezer is inactive, Copia clears it from the Freezers list page when you select the Show active only checkbox. See "Viewing the Freezers List" above. Note that you may not clear the Active checkbox if the freezer has one or more samples stored in it.
- Click < Back to List to return to the Freezers list page without saving any changes.
- Click Save to record changes and return to the Freezers list page.

Designing Freezers
- The Freezer Design section of the Freezers details page allows you to define the storage space within the freezer. Each freezer should consist of one or more storage tube/container types to denote the various levels/compartments within the freezer (e.g., freezer, shelf, column, and row).
- Create the outermost level of the freezer first (e.g., freezer), and then add the interior, increasingly more specific levels (e.g., shelf, then column, then row).
- To add a level to the freezer, click the + button in the Add Level column.
- For each level of the freezer, define the following:
- Storage Tube/Container Type: Select from the drop-down list the storage tube/container type defined in the Storage Containers administration page for that portion of the freezer. This field is required. If you cannot find the desired storage tube/container type, you may create it in the Storage Containers administration page. See the Admin: Storage Container topic.
- Quantity: For all interior levels, enter the number of how many of the selected storage tube/container types exist within the freezer (e.g., enter 3 if the freezer contains 3 columns). You do not enter a quantity value for the outermost freezer level (e.g., freezer), as Copia assumes there is only one.
- Single Protocol: Select this option at the level to which the storage protocol should apply.
- Storage Nodes: For the innermost level of the freezer, enter the number of storage nodes (samples) the container will hold (e.g., enter 4 if the shelf will hold 4 sample boxes).
- To remove a level, click the - button in the Delete Level column.
- Click the Block Out Unusable Space button to further refine the layout of the freezer by marking sections in Copia that cannot be used.
- Once you have designed the layout of the freezer, you must select which storage tube/container types users may store in the freezer. See "Selecting the Allowed Storage Tube/Container Types" below.
- Click < Back to List to return to the Freezers list page without saving any changes.
- Click Save to record changes and return to the Freezers list page.

Selecting Allowed Storage Tube/Container Types
- The Allowed Storage Tube/Container Types section of the Freezers details page displays the storage containers that are designed to hold samples.
- Select the Allowed checkbox for each storage tube/container type that users may store in the freezer. Copia will only consider storing in the freezer samples for orders that use tube/container types that fit within the allowed storage tube/container types. You may modify which tube/container types are associated with storage tube/container types in the Storage Containers administration page. See the Admin: Storage Containers topic.
- Click < Back to List to return to the Freezers list page without saving any changes.
- Click Save to record changes and return to the Freezers list page.
