Admin: Report Redelivery

Page Description

Use the Report Redelivery administration page to search for orders that have had results posted to them, and then you may select orders and report recipient types to redeliver to. You may search for reports where results were received, results were approved, or orders were placed within a specified date and time range. You may also filter your search by ordering practice, ordering location, or patient name. In addition, Copia allows you to suppress redelivery to inboxes, as well as restrict redelivery recipients according to location, user, host, and external status.

Accessing Report Redelivery Tabs

  1. Click the Report Redelivery tab to search for orders that have had results posted to them, and then you may select orders and report recipient types to redeliver to.
  2. Click the Add Result Recipients tab to allow a recipient to be added to a selected set of orders.

Setting the Filter - Report Redelivery Tab

You may filter the list of orders for redelivery by a time range (result received, result approved, ordered), practice, ordering location, and patient name. Follow the steps below to restrict the displayed orders according to your filter criteria.

  1. Select an option from the Date Type drop-down list to specify the date type. Select either "Result Received," "Result Approved," or "Ordered" from the drop-down list.
  2. Enter a date and time in the Start and End fields. Select dates from the calendar view by clicking the calendar icons located next to the Start and End fields. Copia will only search for orders within this date span. By default, the date range is set to include only the current date. Click the Reset Time button to reset the date and time fields to the default values. Click the Now button to insert the current date/time, or click the Clear button to clear the fields.
  3. Select the practice to which the person who placed the order is associated from the Ordering Practice search-as-you-type field. Copia will only search for orders that were ordered from the selected practice. Select "All" to include orders from all practices to which you have access. Click Search to select the ordering practice in the Practice Search page. See the Admin: Practice Search topic.
  4. If you have selected a specific ordering practice, Copia allows you to enter an alternate number in the Fax Override field. This number overrides the recipient's normally configured fax number, which can be helpful in cases where an alternate fax machine number must be used due to a problem with the fax machine.
  5. Select the location where the order was placed from the Ordering Location search-as-you-type field. Copia will only search for orders that were ordered from the selected location. Select "All" to include orders from all ordering locations. Click Search to select the ordering location in the Location Search page. See the Location Search topic.
  6. Select the provider that placed the order in the Ordering Provider search-as-you-type field. Copia will only search for orders that were ordered from the selected location. Select "All" to include orders from all ordering locations. Click Search to select the ordering location.
  7. Enter one or more characters in the Patient Name field and click the Search button to select a patient from the Patient Search page. See the Patient Search topic. If you wish to search for a different patient, click the Clear button.
  8. Select one or more of the following checkboxes that applies to the redelivery:
  9. Click the Redeliver Selected button to redeliver any orders that have been selected in the table via the Select checkbox in the Select column.
  10. Click the Refresh button to refresh the Orders table.

Viewing Orders - Report Redelivery Tab

  1. Once you filter the list, Copia displays the Order ID, Patient, Ordered (date and time), Ordering Location, Order Choices, and Redeliver To information for each order.
  2. If the list is longer than one page, use the Page links, located below the list of orders, to navigate through the list. If there are more page links than can fit on the page at once, Copia displays the Page field. Enter a number in this field and press the Enter key on the keyboard to immediately open the selected page.
  3. To define the number of orders on the page, modify the value of the Show ___ entries field. Copia defaults to 10 orders per page, and displays the total number of events based on your filter settings.
  4. You may sort the displayed orders by clicking the heading for the Order ID, Patient, Ordered, or Ordering Location columns. The up and down arrows indicate whether the current sort order is descending (\/) or ascending (/\). By default, Copia sorts in an ascending order; however, if you click the same column link again, Copia sorts the data in an descending order and it adjusts the arrow to indicate the new sort direction.
  5. Click the Refresh button to update the list based on the current filter.
  6. To enlarge or restrict the list further, modify your filter settings, and then click the Refresh button. See "Setting the Filter" above.

Redelivering Reports - Report Redelivery Tab

  1. Use the filter to create a list of reports for redelivery. See "Setting the Filter" above.
  2. Select the checkbox next to each order you wish to redeliver.
  3. Click the Redeliver Selected button to redeliver the report to the recipient listed in the Redeliver To column.
  4. Click the Refresh button to update the list based on the current filter.
  5. To enlarge or restrict the list further, modify your filter settings, and then click the Refresh button. See "Setting the Filter" above.
  6. Copia tracks the reports you redeliver on the Other Actions tab of the User Actions Log. See the Admin: User Actions Log topic.

Setting the Filter - Add Result Recipients Tab

This will allow a recipient to be added to a selected set of orders. After adding a new recipient, the order will be delivered via the defined Result Delivery Rules the same as if the recipient was added via the Results To… pop-up on the Order Patient Samples page.

  1. Select an option from the Date Type drop-down list to specify the date type. Select either "Ordered" or "Collected" from the list.
  2. Enter a date and time in the Start and End fields. Select dates from the calendar view by clicking the calendar icons located next to the Start and End fields. Copia will only search for orders within this date span. By default, the date range is set to include only the current date. Adding Recipients - Add Result Recipients Tab

  1. Use the filter to create a list of reports for redelivery. See "Setting the Filter" above.
  2. Select the checkbox next to each order you wish to add a recipient to.
  3. Click the Add Recipient button to add a recipient via the Add Recipient pop-up. Select either the Copia User, External Recipient, Location, or Host options.
  4. Click the Save button to save changes made on the Add Recipient pop-up, or click the Cancel button to close the pop-up without saving any changes.
